1. Overview
VoiceMatrixAI provides AI-powered communication, workflow automation, CRM integration, appointment scheduling, and related business automation services. Because many VoiceMatrixAI services involve custom configuration, integrations, setup work, usage-based infrastructure, and business-specific workflows, payments are generally non-refundable unless otherwise stated in writing.
2. Payments
VoiceMatrixAI may charge for subscriptions, custom setup, onboarding, workflow configuration, usage-based services, support, or other agreed service packages. Payments are processed securely through Stripe or another approved payment processor. VoiceMatrixAI does not directly store full payment card information on its servers.
3. Non-Refundable Fees
Unless otherwise stated in a written agreement, the following fees are non-refundable:
- Setup fees
- Onboarding fees
- Custom workflow configuration fees
- Integration work
- Subscription payments already billed
- Usage-based charges
- Consulting or implementation services
- Fees for completed or partially completed work
4. Subscription Cancellations
Customers may cancel their subscription or service arrangement according to the terms of their plan or written agreement. Cancellation stops future billing where applicable, but does not automatically create a refund for previous charges, setup work, or services already provided.
5. Custom Implementation Work
VoiceMatrixAI may perform custom implementation work including CRM setup, AI voice workflow configuration, calendar integration, call flow setup, automation design, testing, and support. Because this work requires time, labor, technical configuration, and operational resources, these fees are generally non-refundable once work has started.
6. Billing Issues
If you believe you were charged in error, experienced a duplicate charge, or have a billing concern, please contact VoiceMatrixAI as soon as possible at support@voicematrixai.com. We will review billing issues in good faith and determine whether a correction, credit, or refund is appropriate.
7. Service Credits
At VoiceMatrixAI's discretion, certain billing or service issues may be resolved through a service credit instead of a refund. Service credits may be applied toward future services, subscriptions, or platform usage and are not redeemable for cash unless required by law.
8. Chargebacks & Disputes
Customers are encouraged to contact VoiceMatrixAI before initiating a payment dispute or chargeback. We aim to resolve billing concerns directly and professionally. Unauthorized chargebacks or payment disputes may result in suspension of services, account review, or termination of access.
9. Third-Party Payment Processing
Payments made through Stripe or other payment processors may also be subject to those providers' terms, policies, processing rules, and dispute procedures. VoiceMatrixAI is not responsible for delays, restrictions, or decisions made by third-party payment processors.
10. Exceptions
VoiceMatrixAI may approve refunds, partial refunds, or credits at its sole discretion. Any exception granted in one case does not create an obligation to provide the same exception in the future.
11. Changes To This Policy
VoiceMatrixAI may update this Refund Policy from time to time to reflect changes in services, billing practices, platform operations, or legal requirements. Updated versions will be posted with a revised effective date.
